1. Who we are

Formcierge is operated by [Your Legal Name / Company Name], registered at [Your Address]. Our website is formcierge.com and you can reach us at privacy@formcierge.com.

2. What data we collect

2.1 Account and purchase data

When you purchase a Formcierge licence or create an account, we collect your name, email address, billing address, and payment details (processed securely by Stripe — we never store raw card numbers). We retain this data to fulfil your licence, provide support, and comply with tax obligations.

2.2 Plugin licence data

The Formcierge plugin installed on your WordPress site sends a licence activation request to our server. This includes your site URL, WordPress version, and Formcierge version. We use this data solely to validate your licence and provide automatic updates. No form submission data from your site is ever sent to our servers.

2.3 Website analytics

We use anonymised analytics to improve the website. We do not use advertising trackers or sell analytics data to third parties.

2.4 Support communications

If you contact us via email or the support system, we retain those communications to track and resolve your issue. We do not share support conversations with third parties.

3. How we use your data

  • To deliver and activate your Formcierge licence
  • To send transactional emails (purchase confirmations, renewal reminders, update notices)
  • To provide customer support
  • To comply with legal obligations (VAT, accounting records)
  • To improve the plugin and website based on anonymised usage patterns

We do not sell your personal data or use it for advertising.

4. Legal basis for processing (GDPR)

For customers in the EEA, our legal bases are: contract performance (processing your purchase), legal obligation (tax records), and legitimate interests (security, fraud prevention, product improvement with anonymised data).

5. Data sharing

We share your data only with:

  • Stripe — payment processing
  • Transactional email provider — sending receipts and licence emails
  • Hosting provider — servers that store purchase records

All processors are bound by data processing agreements and may not use your data for their own purposes.

6. Data retention

Purchase records are retained for 7 years for accounting and tax obligations. Account data is deleted within 30 days of a deletion request. Support communications are retained for 2 years.

7. Your rights

Depending on your location, you may have the right to access, correct, delete, restrict, or receive a portable copy of your personal data. To exercise any of these rights, email privacy@formcierge.com. We will respond within 30 days.

8. Cookies

We use strictly necessary cookies for session management and checkout. We do not use advertising or tracking cookies.

9. Security

We use HTTPS, encrypted storage, and access controls to protect your information. In the event of a data breach affecting your personal data, we will notify you and any applicable supervisory authority within 72 hours as required by GDPR.

10. Changes to this policy

We may update this policy from time to time. Material changes will be communicated by email to active licence holders and by updating the date above.
